Coastal Resort Realty Terms & Conditions

Check-In

For most rental properties, check-in is on or after 4:00pm on the date of your arrival (No earlier than 4:00 since rental units need to be cleaned and inspected).  We appreciate your cooperation in adhering to this.  NO REFUNDS for late arrivals.  This agreement is for the time you reserved.

Check-Out

Check-out is 10:00am on the date of your departure (No later than 10:00 since rental units need to be cleaned and inspected). We appreciate your cooperation in adhering to this. If not, there will be a late check-out charge of $100.00 per hour past the 10:00am check-out time. NO REFUNDS for early departures. This agreement is for the time you reserved. Coastal Resort Realty reserves the right to seek assistance from local authorities if guest(s) willfully refuse to depart at the stated time.


Keys

There will be no keys issued for the rental property.  After final payment is made, you will receive information about getting a security code to the keyless entry lock on the door located at the property entrance.


Payments

All balances must be paid 60 days prior to arrival date, unless other arrangements have been made through our office.  For the rental property “Rumors” payment in full is due 90 days before arrival.  Make checks payable to Coastal Resort Realty and mail to the above address or fax electronic check authorization form to 1-877-867-1876.  There will be a charge of $33.00 for any returned check and may cause cancellation of reservations.  We offer a cash price for reservations paid for by check, electronic check, or money order; please call or email us for more information.


Utility Deposit (Monthly Rentals Only)

A utility deposit of $200 per month is due for monthly rentals unless other arrangements are made. The utility deposit will be used to pay power bill during your stay. If power bill is less than $200, the remainder will be refunded to renter. If power bill is more than $200, the renter will be billed for the remainder.


Deposits/Reservation Payments 

A reservation down payment is due upon making reservations on daily/weekly rentals. For most properties, the down payment is required within 24 hours in order to hold your reservation on ALL rentals and final payment is due 60 days before arrival date. If reserved 60 days or more before arrival date, a payment of ¼ of the reservation total cost is required and applied to your balance due. If reserved less than 60 days before arrival date the full rental payment is required. If reserved less than 2 weeks before arrival date, full payment is required by credit/debit card only. If a reservation payment is not received within 24 hours for most properties, reservations made will automatically be canceled, unless prior arrangements have been made through our office.

If reserving the rental property “Rumors” 90 days or more before arrival date, 1/3 the reservation total cost is required and applied to your rental payment, and the final balance is due 90 days before arrival date. If “Rumors” is reserved less than 90 days before arrival date, the full amount of the rental payment is required. If reserved less than 2 weeks before arrival date, full payment is required by credit/debit card only. If a reservation deposit is not received within 48 hours of booking, unless you make arrangements through our office, reservations made will automatically be canceled.
Initial reservation payments can be made by electronic check, credit/debit card, or Paypal. If you would like to pay the initial reservation payment by traditional check, arrangements must first be made through our office.
 

Refundable Damage Deposit

A refundable security deposit, amount depending upon unit reserved, is collected from the guest to cover costs of damages to the property resulting from willful and/or negligent behavior and for frivolous maintenance calls. Unexpected and unintentional ACCIDENTAL DAMAGE by a guest is covered through your rental agreement. However, the costs of damages resulting from negligence of guests or invitees of guests due to failure to comply with rules and regulations presented to guests or posted within the rental property shall be borne in totality by guests and shall be covered through this Refundable Deposit. If damages resulting from negligence of renter or renter’s guests are found during the rental term or within 72 hours of checkout, notice shall be given to rental guests of the additional costs within 72 hours of checkout. Said amount shown in the notice shall be deducted from the Damage Deposit and the balance shall be refunded to the Renter. A few examples of negligence costs to guests would be as follows: failure to vacate property by the 10am check out time on day of departure; leaving exterior doors open thereby causing air conditioners to malfunction; excessive makeup and sunscreen lotion damage to linens; moving inside or outside furniture and not placing it back to original position; leaving property in any condition that results in additional cleaning fees or additional costs; or bringing an excessive number of pets over the limit of 2, or for bringing pets to a non-pet friendly property. If no damage or frivolous costs are found, the entire Damage Deposit shall be refunded to Renter 7 days after departure.

Processing Fee

There is a non-refundable fee for the processing of reservations made, amount varies according to which property is booked.

 

Weddings/Events

Anyone wishing to book any of our rental properties for a wedding or event cannot book online. Reservations and events must be booked directly through our office by emailing rentals@coastalresortrealty.com or calling 1-855-386-7263.
There will be a non-refundable fee charged to guest for all weddings and events; please contact our office for wedding/event pricing.

 

Accidental Rental Damage Protection/Damage Waiver

Accidental rental damage protection is included for any ACCIDENTAL damages, subject to exclusions and limitations, that occur to the premises during your rental period.  This damage protection covers unintentional damages to the rental property that occur during your stay, provided they are disclosed to management prior to check-out.  This damage protection benefit will pay up to $3000 or $5000 per reservation, depending upon property reserved.  Any damages that exceed the benefit maximum will be billed to the renter.  The damage protection does not cover negligent or willful and wanton conduct.  Refer to the above clause “REFUNDABLE DAMAGE DEPOSIT”.

 

Reporting Damages

Please note any damage to the rental unit upon your arrival and report it immediately to our office to avoid possible liability. If any loss or damage occurs during your stay, you must notify us immediately in order for the damage protection to apply. We inspect every rental unit after each guest’s departure; if unreported loss or damage is discovered after your stay, you will be billed for the amount of damage.

  

Cancellation Policy

A written cancellation is required for your reservation deposit to be refunded on daily/weekly rentals.  For most properties, any cancellation that is more than 60 days prior to the check-in date, a $75.00 cancellation fee will be deducted from your reservation deposit.  If the cancellation occurs 1-60 days prior to arrival, the full rental amount paid will be retained by Coastal Resort Rentals. 

For the rental property “Rumors”, any cancellation that is more than 90 days prior to the check-in date, a $1000.00 cancellation fee will be deducted from your reservation deposit.  If the cancellation occurs 1-90 days prior to arrival, the full rental amount paid will be retained by Coastal Resort Rentals. 

The CSA Travel Protection (if purchased) will not be refunded.  Please refer to your Reservation Agreement to determine which policy was purchased for your reservation.


CSA Travel Protection

This travel plan can cover you and your vacation investment if and when the unexpected happens, and is offered at an additional cost.  The policy cost 6.95% of your total reservation and is automatically calculated and added to your rental rate upon request. The plan is optional, but we strongly recommend it as no refunds will be available for unforeseen developments such as illnesses, natural disasters (hurricanes), etc. Your trip investment could be lost. It may be purchased any time prior to your arrival. In addition to protecting your vacation investment, CSA has other advantages including 24 hour emergency hotline and concierge services plus coverage for emergency medical expenses and transportation. This policy will provide a 100% refund for your stay with us if you must cancel for any of the reasons on the policy, minus the cost of the initial insurance premium.

This is the main reason we highly recommend guest purchase Travel Guard Trip Protection insurance, which does cover hurricane cancellations. Coastal Resort Rentals is not responsible for cancellations due to weather or other events beyond our control.

Mandatory Evacuation

In the event of a mandatory hurricane evacuation issued by the National Weather Service and/or local authorities, you will be asked to leave NO LATER than two hours once issued.  Refer to your Travel Guard policy for mandatory hurricane evacuation.  This is the main reason we highly recommend guest purchase Travel Guard insurance.  Coastal Resort Rentals is not responsible for cancellations due to weather or other events beyond our control.

                                                                                                               

Occupancy

Occupancy is specifically LIMITED to the MAXIMUM number of people as indicated on the attached Reservation Agreement, at ANY time during your stay.  Parking is also LIMITED to the MAXIMUM number of vehicles as indicated on the attached Reservation Agreement. At any time during your stay, random drive-by visual inspections for occupancy and parking restrictions may be performed.  Violation of the occupancy and parking rules may result in loss of rent and eviction.  No RVs, motor homes, or campers are allowed on property. 

Renters and guests agree that they will not overload balconies with excessive numbers of people nor more than is reasonable and prudent for the leased premises.

 

Age Restriction

The individual making the reservation must be 25 years of age or older and must occupy the rental property the entire term of the reservation. Singles under 25 years of age are prohibited unless accompanied by parent or legal guardian. Restrictions may apply regarding the number of people that may accompany a parent or legal guardian. Additional restrictions may apply during the spring break vacation period. Chaperoned groups are prohibited unless given prior approval.


Cleaning Rental

Units are being cleaned before and after your stay. Renter agrees to maintain the cleanliness of the premises during the occupancy and to leave the premises in orderly condition upon departure. A cleaning fee is included in reservation total as indicated on the property’s Reservation Agreement. Please refer to check-out procedures. Additional fees may be charged if check-out procedures are not followed.


Furnishings

All of our properties are privately owned and therefore reflect the owner's personal taste.  Some listing photos my differ due to owner updates or changes although every effort will be made to fully describe units.  

  • Rent will not be discounted or refunded due to renter dissatisfaction of a unit.
  • Most units have phone service and/or internet, please check property listing description. 
  • Dishes must be cleaned and properly placed and garbage put in can by street on pick-up day or placed in proper receptacle. 
  • This is a NON-SMOKING rental please do not smoke in the unit or you will forfeit your deposit (if applicable) due to extra cleaning fees. Renter will be responsible for any cost of damages incurred.
  • Do not take any contents inside of the unit to the beach.
  • Furnishings belonging to the rental property are not to be moved out of place.  IF ANY FURNITURE OR FURNISHINGS ARE MOVED OUT OF PLACE, WHETHER INSIDE OR OUTSIDE THE RENTED PREMISES, A SERVICE FEE OF $300.00 WILL BE CHARGED TO THE GUEST.

We do not guarantee any appliance or amenity in rental unit. No refunds or rate adjustments will be given for malfunctions, but we do promise to have them replaced or repaired as soon as possible. Coastal Resort Realty & Rentals and Property Owner will not be responsible for accidents or injury to guests/renters or for loss of money or valuables. Bed linens & towels are provided, however we do not provide beach towels. Please bring your own toiletries, paper products, and cleaning products.


Pets

Pets are permitted ONLY in select pet approved properties with advance reservations and a non-refundable pet fee, the only exception is for service animals. You must inform our reservations center prior to arrival if you intend to bring a pet to an eligible unit.

Pet friendly units - Pets are allowed with a $50.00 non-refundable pet fee (weight limits apply). If you allow your pets on furniture please place sheets over furniture to protect.  Local law requires that pets taken outdoors must be on a leash at all times.

Non-pet friendly units – No pets allowed, no exceptions!! A pet, or evidence of a pet found on the premises, is cause for eviction and forfeiture of rent.  There is a minimum $200 charge for any evidence of an unauthorized pet found in a non pet-friendly unit.

 

Changes in Property Condition and Substitution

In the event that the rented premises becomes uninhabitable through emergency conditions or through no fault of Owner or Coastal Resort Realty, the reservation would be cancelled, renters notified and the total rental amount paid shall be refunded. Coastal Resort Realty, Owners, and agents shall be limited to the rental paid as the extent of liability or responsibility to tenants.

Substitution of comparable properties may be made without notice or liability should the property you reserved become unavailable for rent.  If comparable units are not available, renter will have the option of selecting from available properties for payment of the published rate or receive a refund of your initial payment and prepaid funds (excluding any travel insurance purchased). 

 

Units for Sale

In the event a property that you are renting is listed for sale, we may find the need to show the property during your visit. We will make every effort to schedule the showing at a convenient time so we do not disturb your vacation.  In the event that the subject rented property, as described herein, is offered for sale and has an accepted offer with closing pending during this rental term, Coastal Resort Realty may be required to make a transfer of this rental agreement, move the guest to another property, or a full refund will be made.

 

Agency Disclosure

Coastal Resort Realty serves as the agent and representative of all owners of condominium units, town homes and houses in its rental program and acts at all times in and for the best interests of the owners.

Owners and Coastal Resort Rentals will not be responsible for accidents or injury to guests/renters or for loss of money or valuables.

Coastal Resort Realty makes every effort to assure that all descriptions and representation by our staff in our brochures and internet sites are accurate. However, we are not responsible for printing errors, computer errors, or inadvertent pricing or description errors.  Prices, amenities, and specials are subject to change with or without notice.

 

This is a vacation rental agreement subject to the provisions of Section 11-100 of the Code of Ordinances of the City of Gulf Shores. Guest expressly acknowledges and accepts the right of owner or owner's authorized agent to remove or cause the removal of Guest and Guest's invitees and permittees from the premises for any of the reasons enumerated, and in the manner provided, in Section 11-100.

The Orange Beach/Gulf Shores/Fort Morgan area is a quiet and family-friendly location. We've provided some rules below to observe when visiting the area.

City, County, or State Ordinances Prohibit the Following:

• Open House Parties
• Public Intoxication
• Underage Drinking
• Possession of Controlled Substance
• Unreasonable Noise or Vibration
• Intentional or Wanton Misconduct Resulting in or Likely to Result in Material Damage to the Property
• Disturbing the Peace/Profanity/Lewd Behavior/Brawling

If guest(s) staying at a property managed by Coastal Resort Realty violate any of the above rules, Coastal Resort Realty reserves the right to evict guest(s) without a refund.
